The case is fictional. Each decision pairs a new scenario with field notes drawn from a linked guide in our library. Read the scenario aloud first, and ask the next person to explain the result before consulting the notes.

1. Write the version the customer accepted

Print two sample offers with the same customer reference: version one says six cartons; version two says four. Hand both to the cashier in reverse order. A pass means they identify the accepted version from the record, without asking which sheet arrived last. If approval is missing, the next action is to obtain it. Crossing out six and writing four on the old copy leaves the collector holding ambiguous evidence. Treat the accepted revision as the starting record for hardware order handover; a later print date alone proves nothing.

Field notes from our retail quotation review guide:

Distinguish available stock from an expectation

A quotation can describe goods the business expects to obtain without proving that those goods are ready for collection. Check the relevant location and the stock position at the time of review. Identify items awaiting supply, transfer or another approval. Do not describe expected stock as physically available just because it appears on a purchasing plan.

Give the offer a clear validity period

Record how long the quoted terms remain open under your business policy. A validity date gives staff a practical point at which to recheck price and availability. It does not replace a clear conversation about unusual items, changing supply conditions or a customer who needs a longer decision period. Make exceptions explicit and obtain the appropriate approval.

When a customer returns after the stated period, review the offer before converting it into a transaction. Confirm which terms still apply and issue an updated version where necessary. Avoid silently changing a document the customer has already reviewed. A revision clarifies decisions.

Explain delivery and collection responsibilities

Specify whether the customer will collect, the shop will arrange delivery or another party will handle transport. Include the relevant location and any agreed delivery charge. Separate a preferred date from a confirmed commitment. Staff should know what must happen before the business can promise a collection time or dispatch slot.

Separate quotation approval from payment confirmation

A customer’s approval of the offer and confirmation of payment are different events. Record each through the appropriate process. An email accepting a quotation does not prove that money has arrived, and a payment reference needs verification against the business’s payment records. Staff should follow the agreed controls before releasing goods or recording settlement.

2. Prove the unit at the shelf

Put one sealed carton beside twelve loose plugs. Ask a picker to prepare four cartons and then ask another colleague to check the quantity independently. The check should read “four cartons containing forty-eight pieces”, not “four plus forty-eight”. If the shop sells only sealed cartons on this quote, substituting loose pieces needs agreement even when the arithmetic is identical. The unit test in hardware order handover is whether a second picker can reproduce the first pick without guessing.

Field notes from our pack size conversion guide:

Verify the physical packaging

Read the actual pack label and count a representative sample where appropriate. Similar boxes can contain different quantities, and a supplier may change packaging while retaining a familiar description. Keep the relevant product reference, packaging description and confirmation date together. Avoid relying on an old spreadsheet whose source nobody can identify.

Distinguish a pack quantity from a product specification. A carton containing twelve bottles is different from a bottle containing twelve litres. Both numbers may appear prominently on packaging, but they describe different relationships. Pack size conversion should reflect the sellable goods rather than whichever number an employee notices first.

Map purchasing units to selling units

Write the relationship as a simple sentence, such as one carton contains twelve individually sold bottles. Check whether the business also sells sealed cartons. If it does, confirm how the system recognises the two selling options while preserving one understandable stock position. Do not create unrelated product records without discussing their effect on quantities and reports.

Test receiving with an incomplete pack

Real deliveries do not always arrive as complete sealed packs. Include an example with one full carton and several loose units, where that situation is relevant to your shop. Ask how the receiving employee records the delivery and how the system presents the result. The process should avoid an employee inventing a decimal carton without understanding its meaning.

Record shortages or damaged units through the appropriate exception process. A conversion factor should not be changed merely to make a particular delivery balance. Pack size conversion describes the product relationship; the receiving record describes what actually arrived. Keeping those facts separate helps the buyer investigate a supplier discrepancy.

3. Separate an order from a reservation

Of the four cartons on the accepted offer, suppose three are held and one is expected tomorrow. The cashier cannot promise four for collection today. Ask the salesperson to show the physical location of the three, the reference for the expected carton and the person authorised to amend the promise. When the customer accepts three now, record one outstanding rather than marking the whole order collected. Write “three ready, one outstanding” on the hardware order handover note so a busy cashier can see the exception.

Field notes from our stock reservation expiry guide:

Identify the product and quantity precisely

Record the product reference, variant, selling unit and quantity. Similar goods on the same shelf are not necessarily interchangeable. A customer may have chosen a particular size, colour or configuration. If the reservation describes only a broad product family, the next shift may release or sell the wrong item while believing it has followed the instruction.

Explain the arrangement to the customer

Use plain language when confirming the hold. State the goods, quantity, agreed collection window and what the customer should do if plans change. Avoid promising an automatic extension unless your process supports and authorises it. A short written confirmation through the agreed channel can help both sides remember the same terms.

Make extensions deliberate and visible

Customers sometimes need more time, and a reasonable extension may fit your business policy. Record who approved it, the new review point and any changed condition. Do not repeatedly replace the original date without retaining an understandable history. Another employee should be able to see why a reservation remains open beyond the first promise.

Include reservations in shift handover

Highlight holds that need attention during the incoming shift. Give the reference, location, current status and next action. Keep the handover concise and point to the full record for detail. Rewriting the entire case in several notebooks can create conflicting versions when the customer changes the arrangement.

Ask the receiving employee to locate one sample reservation and explain what must happen next. This quick check reveals unclear labels or missing information before a customer arrives. Stock reservation expiry becomes a shared routine when staff can follow the record without depending on the memory of the person who first took the enquiry.

4. Close the promise with evidence

The fourth carton arrives after the original collector has left. Give the next shift a single question: what is still owed to this customer? A supplier receipt proves goods arrived at the shop. A customer collection record proves goods left with the collector. Those two events need separate references even when they occur within minutes. Close the case only when the second event is evidenced. A successful hardware order handover leaves a collection reference for every carton released.

Field notes from our partial delivery tracking guide:

Reconcile the open quantity after every receipt

Compare the ordered quantity with accepted receipts and any authorised changes. Investigate a negative or unexpected outstanding balance. It may indicate an overdelivery, duplicate receipt, unit mismatch or an order amendment that was not recorded correctly. Do not treat the balance as trustworthy merely because it appears on a screen.

Assign ownership of supplier follow-up

Choose who will ask about outstanding goods and when they should do so. Include the order reference, affected lines and exact outstanding quantity in the question. A general request for an update may produce an answer that covers only part of the order.

Protect customers from unclear availability

Goods that are ordered, in transit, received or reserved are in different states. Confirm how the business represents each state before promising availability. Staff should know whether an outstanding supplier delivery has been allocated to a customer or simply replenishes the shelf.

Check documents separately from physical completion

A fully delivered order may still have an invoice question, return or missing supporting document. Conversely, a document may arrive before all goods do. Keep the physical receiving position and the related document follow-up distinguishable, with appropriate owners for each.

Hand over open deliveries between shifts

Include the order, latest receipt, outstanding lines, expected next event and owner in the handover. Refer to the complete record for detail. A short structured note is more useful than a long conversation that the next receiving employee may never hear.

The retail handover log guide supports this routine. During partial delivery tracking, another shift should be able to recognise an expected second arrival without receiving the entire original order again. Make duplicate prevention part of the handover discussion.

Hardware order handover: questions from the exercise

The collector wants to sign before the last carton arrives.

Give the collector a document identifying the three cartons actually handed over. Keep the open balance on the same order reference. If a staff member can close the whole quantity simply by printing the note, the form needs a clearer separation between ordered, picked and collected goods.

The accepted quote has no collection name.

Treat that as a missing handover decision. Ask the customer through an agreed channel who may collect the goods, and record only the details the shop needs. Staff should not infer authority from someone’s knowledge of the price or from possession of an old quotation.

Who owns the hardware order handover if the collector changes?

The salesperson confirms the amended instruction and links it to the accepted offer. The person releasing goods verifies it before completing the collection record.

Review your hardware order handover results

The best test of hardware order handover is to give the order to somebody new.
