The case is fictional. Each decision pairs a new scenario with field notes drawn from a linked guide in our library. Read the scenario aloud first, and ask the next person to explain the result before consulting the notes.

1. Establish one selling basis

Write the selling basis as a sentence: the price applies to one kilogram of the specified nuts, and the transaction records the net quantity sold. Show how 250 grams becomes 0.250 kilograms before multiplying by KSh 800. Keep the display unit clear for staff and customer. Next try 125 grams and calculate KSh 100 independently.

These quantities have simple expected answers, which makes an error obvious during setup. Do not “correct” an unexpected total by changing the kilogram price until it matches one customer’s purchase. That can leave every other weight wrong while hiding the original unit mistake. A weighed product checkout test needs a known unit price and two independently calculated answers.

Field notes from our pack size conversion guide:

Verify the physical packaging

Read the actual pack label and count a representative sample where appropriate. Similar boxes can contain different quantities, and a supplier may change packaging while retaining a familiar description. Keep the relevant product reference, packaging description and confirmation date together. Avoid relying on an old spreadsheet whose source nobody can identify.

Distinguish a pack quantity from a product specification. A carton containing twelve bottles is different from a bottle containing twelve litres. Both numbers may appear prominently on packaging, but they describe different relationships. Pack size conversion should reflect the sellable goods rather than whichever number an employee notices first.

Decide how partial measures are handled

Some businesses sell quantities that are not whole pieces. If your products are measured by length, weight or volume, discuss the supported precision and rounding rules with the implementation team. Use examples from your actual trading practice. Do not apply a generic rule across products with different measurement needs.

Check how the quantity appears on screen, on the customer document and in a stock report. A display rounded for readability should not leave staff uncertain about the recorded amount. Pack size conversion needs a consistent explanation of precision so employees can distinguish a real difference from a presentation choice.

2. Find out what the label encodes

Print a test label only after confirming the format supported by the scale and till. Some arrangements use a product reference plus a weight; others carry a price or require a separate lookup. Do not assume that every label with digits and bars means the same thing.

Scan the test label, inspect the product and identify whether the till used a quantity, an amount or a fixed unit. Then use a second label with a different weight for the same product. A fixed KSh 200 result for both labels is evidence to investigate, even if the first bag happened to cost exactly that. The label’s meaning belongs in weighed product checkout training, especially when the shop replaces a scale or scanner.

Field notes from our barcode label checks guide:

Investigate repeated or conflicting matches

If a code selects an unexpected record, stop that label batch and record the observed result. Compare the printed characters with the intended reference. Check whether a different item has been given the same internal code or whether the wrong template was selected. Avoid fixing the problem by changing several records at once.

Use an authorised product maintenance process and preserve the original evidence. After a correction, repeat barcode label checks on the affected item and a neighbouring variant. This confirms both that the intended match now works and that the correction has not moved the mistake onto another product.

Review after the first trading period

Check the first day’s reported exceptions after introducing a label batch. Ask receiving staff whether application was straightforward and cashiers whether scanning produced consistent matches. Inspect a small sample on the shelf again. The goal is to discover practical problems that were not visible during printing.

Assign an owner for later barcode label checks when packaging, suppliers or printer settings change. Keep approved instructions together and retire outdated versions. A simple review routine is more dependable than assuming that one successful printing session settles every future labelling decision.

3. Deal with tare and damaged packaging

For this example, the container weighs 20 grams and the filled container weighs 270 grams. Net contents are 250 grams. Test whether tare is already applied by the device before asking the cashier to subtract anything manually. Subtracting the container twice gives 230 grams and a misleading charge of KSh 184.

A torn bag introduces another decision: do not rely on a label printed before some contents spilled. Follow the shop’s safe handling process, reweigh saleable goods where appropriate and invalidate the obsolete label. Document stock loss separately from the quantity eventually sold to the customer. The tare exercise makes weighed product checkout easier to teach because staff can explain why subtracting twice understates the charge.

Field notes from our retail damaged stock guide:

Keep stock movements and decisions connected

If goods move to a holding area, record the movement using the supported process. If their available quantity changes, retain the reason and authorisation. Physical separation alone may not change what a cashier or buyer sees on screen. Confirm how your setup distinguishes held stock from stock ready for sale.

Avoid making several unrelated adjustments to force a desired balance. Retail damaged stock needs one understandable chain from discovery to decision. A reviewer should be able to explain the original quantity, each recorded movement and the current position without reconstructing the story from disconnected notes.

Record the authorised outcome

Possible outcomes depend on the goods and your procedures. The review may lead to a supplier return, an approved record correction or another documented decision. Use the applicable handling rules and qualified advice where the product requires it. This operational checklist does not decide whether damaged goods are suitable for use or resale.

Write the decision in plain language and identify the approver. Link any supporting document. Retail damaged stock records should show why the case moved from review to its final outcome. A short decision note is better than an unexplained status change that leaves the next employee guessing.

4. Check the stock movement as well as the receipt

Begin with a fictional three kilograms in the selected location. Sell the 250-gram bag and the 125-gram bag. The theoretical balance is 2.625 kilograms before any recorded waste or further receipt. If the till takes the right money but removes two whole pieces, checkout has not passed.

Ask the reviewer to trace both receipts into the stock report and explain the displayed unit and precision. Retest with an allowed return or correction under shop policy. Stock handling for returned food depends on the actual circumstances; restoring a customer’s money does not by itself make returned goods fit for resale. A useful weighed product checkout review ends at the stock report, not at the printed receipt.

Field notes from our reorder exception review guide:

Confirm the product and purchasing unit

Start with a stable product identity and the unit used for buying. A carton, packet and individual piece can produce very different order quantities. Similar supplier references may also describe different pack sizes. Resolve these differences before comparing stock levels with a proposed purchase.

Review recent demand in context

Compare the recent pattern with the circumstances of the period. A large one-off order, a promotion, a temporary closure or missing trading days may make an average misleading. Keep those events visible instead of treating every change as a permanent shift in demand.

Understand the lead time being used

Ask how long the business currently expects between ordering and usable receipt. Distinguish the supplier’s stated dispatch time from the full journey through delivery, receiving and availability. A product that reaches the gate on Friday may not be ready for sale at the moment a customer needs it.

Record the decision and its reason

The outcome may be to order, wait, reduce a quantity, investigate a discrepancy or seek another authorised supply option. Record the approver, quantity basis and next action. A short explanation should connect the decision to the evidence rather than simply repeat approved or rejected.

Weighed product checkout acceptance sheet

Before running the example, cover the expected results and ask a colleague to predict them. Test both the customer’s charge and the stock movement using the same sample. A correct KSh 200 receipt does not prove the system removed 0.250 kilograms from inventory.

Should staff use the original label after a bag is opened?

Only if it still correctly identifies the contents, net weight and price under the shop’s applicable procedure. A changed quantity needs a fresh check. Keep an obsolete label out of circulation so it cannot later be scanned against another bag. Treat damaged or unsuitable goods according to the shop’s handling policy.

Why test a second weight for the same item?

A configuration error can coincide with one expected answer.
